How to Create, Manage, and Run Reports for a Customized Work Request

Summary

 

42Q's Work Request Trigger function supports the CMMS application, and provides customization options for manufacturers. Trigger and Customization forms are configured in the system's backend.

This feature allows users to complete the details of a work request directly in the Work Request module. Each Work Request Design is unique to the plant and the Work Requests the plant requires.

Customized Work Request Form: A Use Case

 

Plant ABC experiences many requests for part returns. The plant can set a customized Work Request form so that the Process Engineer can quickly specify which parts must be returned at the same time s/he requests the Work Order.

Work Request Category: Return Parts

Selection Options: PN, Part Name, Sub Inventory, Locator, Qty, Qty UOM

The Customized Work Request form allows Plant ABC's Process Engineer to define the exact type of part that needs to be returned, at the same time s/he requests the work. The system will then assign a corresponding work order according to the predefined approval paths.

To create and complete a customized Work Request, users must move between several portals. Steps are outlined below.

Customized Work Request Form Steps:

 

  1. Define the Work Request Category
  2. Manage the Work Request
  3. Run Work Request Report

Define Work Request Category

 

The Work Request Category module allows users to define the Work Request Category, including WR Category Name, Approval path and Approval groups.

  1. Navigate to: Shop Floor Control > CMMS - Admin.
  2. Select the WR Category ICON.

  1. The Work Request Category's main page displays. Users can Add and Edit the work request category.

  1. Click Add to open the Add Work Request Category subpage.
  2. Select the WR Design Name from the drop-down list.

Note: WR Design Names are predefined on the system's backend using the Trigger and Customization forms. Please contact your plant's MES Support Team/DB Team to define the Customization form and trigger at the system's backend.

Example: In the screenshot below, Update Asset Status was previously defined as the WR Design Name; therefore, it is available in the drop-down menu for selection.

  1. Set the Approval Path , Approval Groups and Description.

  1. Click Save: a new Work Request Category is successfully created (Our example is : Update Asset Status test).
  2. Select the Work Request.
  3. Click Edit to edit the Work Request. For forward information, please see <a href="https://docs.google.com/document/d/15cmUndZjddlQ73yTlGZgfXWLFPTGCLWMnedGj7C52xs/edit#heading=h.h27djcg46qv3">CMMS - Admin > WR category</a> .

Manage Work Request

 

The Work Request module allows users to create, edit, approve/cancel, and view a Work Request.

  1. Navigate toProduction > CMMS - Work Request. There are four ICON: Work Request, My Requested, My Approvals, My Assigned.

Work Request Report

 

  1. Select the Work Request iconto open the Work Request page.
  2. A complete list of all work requests made by all users will display.

  1. Users can search the work request by Category, Status, and Created Date.

My Requested

 

  1. Select My Requested ICON, then open the My Requested subpage. Users can Add a new Work Request or Edit their own Work Requests.

  1. Select Add, then open the Add Work Request sub-page. General Tab displays by default.

  1. Select one Category from the Category drop-down list.

  1. Once the category is selected, the customization form linked to the WR Category (see CMMS Admin> Work Request Category) will display in a new tab.

  1. Note: Each category has its own unique customization form, that will display on a separate tab (see figure below).

  1. Fill the columns at the general tab and customization tab.
  2. Click Save
  3. The new work request is successfully created and will display on the main list.

Edit Work Request

 

Note: Users can edit the work request, but can only update the work request in requested status. Once approved, user cannot edit the work request any more.

 

  1. Select the WR, then click Edit to open the Edit Work Request sub-page.

  1. Change the Category, Due Date, Status, Description at the general tab.
  2. Then use the Customization Form Tab (e.g. Update Asset Status Test in the figure above) to adjust the values of the associated custom columns.

  1. In the example above (Figure 14) users can select assets utilizing the customized pop-up screen, then change the status To Be Reviewed and select the Reason for the status change (Assets are selected for Scrap - "Scrapped").

My Approvals

 

User can View, Approve, or Reject work requests sent for their approval in the My Approvals module.

  1. Select My Approvals ICON, open the My Approval subpage. Users can approve and reject the Work Request, or view their approval history.

  1. Select the hotlink on the WR#, will open the Edit Work Request sub-page.
  2. The work request's details now display at the General tab and theCustomization Form tab.

  1. Change the Approval Status at the general tab.
  2. Select Approved to approve the work request, or Rejected to reject the work request.

  1. Select Save.
  2. Once all the steps in the Approval path move to Approved status, CMMS application will activate the trigger process (Defined by db team/MES support team at the backend) and change the scrapped asset (Add Asset ID to scrapped at the Work Request- see Figure 14) status toTo be reviewed.

My Assigned

 

  1. Navigate to: Production > CMMS Work Request > My Assigned. Choose the My Assigned icon.
  2. All work requests that have been approved and assigned to the current user are listed in theMy Assigned submodule. From this submodule, users can close a work request or search a work request by Status.
